Herder of Goats (Administrative Assistant )

BUP/CSG is currently recruiting for an executive and finance assistant (aka
“The Donna” if you’re a Suits fan). We are talking about someone who can
herd cats, dogs, sheep, goats, clients, and team members. We want you to
bring your colour coded, Marie Kondo and communication talents to our
team. If you’re a go-getting troubleshooter who enjoys helping people get
“stuff” done (in an organized, efficient, and effective manner) then read on.

conditions to suit the various needs of this new life we are living, but do want
to see your face in the office as we also feel personal connection is key.


• Manage email, voicemail, and calendar bookings for team
• Organize and coordinate internal and external meetings and
conference calls; including preparing information packages, agendas, organizing logistics, attending meetings, capturing and following up on action items
• Review all incoming material to determine required next action
• Reception duties including answering phone and responding to
client queries
• Set up meeting spaces and assist with group functions
• Writing and assembling, organizing proposals
• Task creation, follow up and reporting/report creation for Finance
and Account Director
• Ensure appropriate information is provided to the Account Director
on the progress of items, problems and issues, recommending
appropriate actions to be taken ensuring he is properly briefed on all
matters important (to him)
• Act on behalf of the Account Director to handle matters, some of
which are highly confidential in nature
• Interface with high-level internal and external contacts with
considerable autonomy
• Attending meetings with the Account Director and organize follow up
as necessary
• Assembles data and prepares periodic and special reports. Weekly
activity reports are required, as well as logging activities within CRM
and Project Software.
• Receiving payments into accounting software (cheques, etransfers,
EFT’s and Credit Cards) on a daily basis
• Processing credit card payments
• Preparing Deposit Slips for various forms of payment
• Project coordination such as new project set-up, assigning staff
tasks, timelines and productivity.
• Send monthly invoices for Google and Facebook Ads to clients,
receipt cheques daily making bank deposits for both companies.
• Daily accounting transferring receipts into Hubdoc and weekly
syncing to QuickBooks Online.
• Data entry for Accounts Receivable and Accounts Payables

• Ordering office supplies, kitchen items and keeping snack shop
• Other duties as assigned.


• Diploma in administration, business or marketing and/or a
combination of related education and experience is required.
• Experience in marketing & communications is beneficial
• 5 years administrative experience required

Technical Competencies
• Proven ability to manage a wide array of projects
• Proficiency with Microsoft Office
• Valid driver’s license
• Familiar with Quickbooks

Working Conditions
• Works primarily in an office environment
